Prestige Brands, Inc. The HR Department at Prestige Brands needed an efficient way to enroll their employees into the different benefits programs offered by the company for the 2008 year. Prestige Brands over the years has made numerous acquisitions leading to employees from different divisions and units being entitled to different benefits.Prestige Brands had a brand new implementation of Miosoft Office SharePoint Server 2007 and wanted to leverage the features within this application to modernize their employee enrollment process. With over 5,000 employees to enroll this was no simple task. Previously the enrollment process was a manual paper based system, with each employee filling in a paper form and mailing it to the company’s HR Department These forms would then have to be manually sutinized for errors and entered into a Miosoft Access database. Employees would frequently make errors whilst filling out the form and the HR department would have to contact each employee and update the correct information directly into the Access database. This was a labor intensive task and meant that the HR department would need several weeks after the enrollment had closed before they were able to transmit the enrollment information to the different benefits providers.

Solutions:

  •  Designed and developed an application to handle the full life cycle of the employee enrollment process, including the generation of encrypted compliant files that were electronically transmitted to the benefits providers.

Results:

  •  Benefits enrollment is performed electronically eliminating the need for paper submissions.
  •  Labor intensive tasks of validating the submitted information is no longer performed by the HR department, but is now done programmatically at the time of data entry at the form level.
  • Submitted data is stored in a SQL Server database which allows the application to be upgraded without the need to migrate data.
  •  Encrypted files are automatically generated and submitted to the benefits providers without human intervention.
